Preparing for vehicle finance: documents, next steps and safe sharing

Know what a lender may request, how to prepare a clear application pack, and what to confirm before sharing identity or financial records.
Preparing your paperwork can make a finance application easier to complete, but collecting documents and sending them are two different steps. Start by understanding who is asking, what stage you have reached and which secure channel the chosen provider wants you to use.
You can ask C4 Cars about a vehicle or its finance process without attaching your ID, payslip or bank statements.
First identify the stage you are at
An initial enquiry is a conversation about the vehicle and possible next steps. An estimate explores a possible repayment using assumptions. A lender application involves supplying information for an actual credit assessment. A quotation sets out offered terms, and an agreement is the document you sign if you proceed.
Ask the person assisting you to name the stage. Also ask whether your information will be sent to one lender or several, and what authority or permissions are being requested. A contact enquiry should not be confused with approval.
What documents might be requested?
Requirements depend on the lender and your circumstances. A common starting checklist is:
- A valid identity document.
- A driving licence, where required.
- Recent proof of residential address.
- Recent proof of income, such as a payslip.
- Bank statements for the period requested.
- Details of income, living expenses and existing credit commitments.
For example, WesBank's requirements guide lists identity, address and income evidence and bank statements, with possible differences for some existing customers. Nedbank's vehicle-finance guidance provides its own document requirements. Use the chosen lender's current checklist rather than assuming every bank accepts the same pack.
Do not assume that every document needs certification or a bank stamp. Ask what is accepted, how recent it must be and whether a document obtained through official digital banking is suitable.
If you are self-employed or earn variable income
Explain your circumstances before collecting a standard salaried-applicant pack. The lender may need different evidence to understand your income and expenses. Ask which periods and documents it requires for your situation.
Do not alter a statement or select only the strongest months to create an incomplete picture. If income varies, prepare a clear explanation and ask how the lender wants that variation reflected.
For a business application, establish whether the business or an individual is applying and obtain the provider's specific requirements. Do not assume that a personal vehicle-finance checklist covers a company purchase.
Prepare a readable pack without oversharing
Keep your source documents in a private folder on a device you control. Check that each requested document is legible, complete and current. Include all pages when requested, and make sure the account holder's name and relevant dates can be read.
Use simple filenames such as “Bank statement August 2026”. Avoid putting a full ID number or account number in the filename. Send the requested evidence only; unrelated medical, family or employment documents do not belong in a routine application pack.
If you are concerned about information on a document, ask the provider whether it accepts redaction or a purpose-specific watermark before changing it. Altered documents may be rejected, and a watermark does not make an insecure channel safe.
Before sharing: ask five questions
- Who will receive this? Confirm the organisation and named contact through a contact detail you independently trust.
- Why is it needed now? The explanation should match the stage of the application.
- How should I send it? Request the provider's approved secure method and verify the address before uploading.
- Who else will receive it? Ask about the dealership, lender and other parties involved.
- How long will it be kept? Ask how to request access, correction or deletion and what retention obligations may apply.
A privacy notice should explain the processing of personal information. POPIA contains conditions governing that processing; ticking a box is not, by itself, proof that an entire process is compliant. The Information Regulator's guidance on lawful processing is a useful starting point.
Never share authentication secrets
Do not give a dealership employee or someone claiming to represent a bank your banking password, PIN or one-time password. If an official provider uses a secure verification process, access it through independently verified channels and follow its instructions yourself.
Treat unexpected links, requests to change payment details and pressure to send documents urgently as reasons to pause and verify. Encryption in a messaging app does not establish that the recipient is the correct person.
For C4 Cars, call 011 845 7091 to confirm the next step before sending sensitive records. Read the site's privacy notice, and ask for clarification if the proposed process is not explained there.
If you need to stop and continue later
Ask whether the chosen provider has a verified account or portal that saves drafts. Confirm what is saved, how long it remains available, how to sign back in and whether documents will need to be refreshed later.
Keep your application reference and the official contact details separately. Do not rely on a browser tab staying open, and do not assume that an unfinished form has been saved. Avoid leaving financial documents in a shared computer's downloads folder.
If you decide not to proceed, tell the provider and ask what happens to information already supplied. A deletion request does not necessarily override records that must lawfully be retained. For concerns about handling of personal information, see the Information Regulator's complaints guidance.
Before accepting the offer
Complete paperwork does not guarantee approval. When an offer arrives, check the price, deposit, repayment period, rate, fees, optional products and any balloon before signing. Use our worked finance example to understand the difference between a manageable monthly payment and the total commitment.
